LibCal and bookings

This page is to help Unitec Student Success staff manage bookings by students

Setting up your availability for all your work locations

It is assumed that at any time that you make yourselves available to students, you are able to provide on Online Support service.  This is the widest times that you can take an appointment.

Within these times, you may also be available for a face-to-face appointment at one of the Unitec campus.  

These need to be set up in LibCal so students are able to select the type of appointment they want.

Online Appointments or Phone Appointments

Set these as the widest timeframe you are available.  If another appointment already exists in your Outlook calendar, AND your calendar is synced with LibCal, you cannot have two appointments at the same time.

  1. In LibCal, click on the availability tab.
  2. Fill in the details to suit your time slots  and select until the end of the year (you can change this at a later date if necessary
  3. Set Location = TEAMS or Online
  4. Click on Add availability

NOTE: If availability already exists for this location, it is best to delete it first, then add the new availability.  

Availablility at other locations

Other locations

For a shorter period of time, you may be available for face-to-face appointments.

  1. In LibCal, click on the availability tab.
  2. Fill in the details to suit your time slots  and select until the end of the year (you can change this at a later date if necessary.
  3. Set Location = Campus you will be at (Mt Albert or Waitākere)
  4. Group = All groups or the team you are part of at that location
  5. Directions = where you will meet the student. Please use the same locations as in https://guides.unitec.ac.nz/teamlocations/teams as detailed instructions are in this guide, and student confirmation and reminder emails refer to this guide as well.
  6. Click on Add availability

NOTE: If availability already exists for this location, it is best to delete it first, then add the new availability.
